The importance of certificates of authenticity

As an artist or photographer, it is highly likely that you want to give your customers reassurance in your product as well as protecting the integrity of your finished print. That’s where certificates of authenticity come into play. Designed to protect and authenticate your fine art prints, these certificates add a perceived layer of value and trust to your customer.

What is involved?

Typically there are a certain few things that should be featured on each certificate of authenticity, this includes;

Title of the artwork: arguably one of the most important features. What’s the name of your piece?

Artist: Again, as above, one of the most vital pieces. This if your ‘stamp’ on the certificate. Ensures your link to the work and gives you the recognition that you deserve.

The date: May seem an obvious one but it’s worthwhile at least adding the year to the certificate of authenticity.

Small image of the piece: Immediately makes the certificate of authenticity linkable to the finished print.

Certificate/print number: Particularly important if your print is part of an Certificate of Authenticity - The Artists Print Roomedition. For example print number 1 of 500 – this information should be included on the certificates of authenticity. Each print will then have the corresponding number pencilled on to provide a pair! One certificate to one print.

Material/Printer/Inks: These are other variables that can add perceived value to your piece. By detailing the substrate printed on in addition to the quality inks, this highlights and ensures the archival qualities of your fine art print.

Finally, you, as the artist should sign the certificate.

Additionally, on our certificates of authenticity you will also find a declaration of intent, signed by both the artist and publisher.

How do certificates of authenticity benefit you?

By supplying certificates of authenticity with each of your prints you show your dedication as an artist and this can make your artwork easier to sell as well as potentially increasing the value. By having this document linked to your work, your customers can have the confidence in purchase. Sadly, there is no guaranteed way to 100% prove the piece is authentic further down the line when it comes to reselling, however, providing a certificate of authenticity provides good reassurance where possible. In addition to this, many companies, including fine art paper manufacturers and organisations such as ArtSure from the Fine Art Trade Guild offer services where you can upload details to an online register to give an extra level of confidence.

Limited Edition Giclée Prints

When reproducing your artwork, one of the major considerations often surrounding this, is how many prints should you include in your print run. There are many ‘rules’ surrounding the concept of limited edition giclée prints and here we hope to answer some of those questions to make your process much easier!

What is a limited edition giclée print?

To begin with and to put it simply, a limited edition print is a set of prints of the exact same image which will only be produced to a maximum number eg. 100. These series of prints will always look exactly the same when processes such as accurate colour correction and artwork reproduction are followed. It is also worth noting, all prints in your edition do not have to printed at the same time either avoiding the costly overheads – you can print as required (eg. when you sell a copy – see our on demand section here).

The ‘rules’

One of the most comprehensive resources surrounding this topic comes from The Fine Art Trade Guild. The Fine Art Trade Guild provides a lot of excellent guidance on how limited edition giclée printing should work. Firstly, it is recommended that a limited edition print run is kept to below 850 prints worldwide, however, you can have as few prints as you like. This also includes any artist proofs. But it is worth considering that the lower the edition run, the ‘more rare’ your prints will be – potentially this can be good for resale, however, the more prints produced, the higher the potential income initially. This is really for the artist to decide upon as it depends on your objectives and purpose. We can of course, help advise and give guidance if required.

The Fine Art Trade Guild also states that, ‘a limited edition print is based on an agreement between the licensor, usually the artist or artist’s estate, as a holder of the copyright, and the licensee, usually the publisher.’ The licensor should agree that no previous reproductions have been made and will not be produced again for publication. The publisher will also agree to not exceed the agreed print run which has previously been specified.

Additionally, to comply as a limited edition giclée print run, the image should not be produced in any other format, anywhere in the world. This includes on other items such as mugs or other items for example, or as a different sized print. However, there is an exception in that it can be printed for promotional purposes in items such as brochures or books.

Certificate of Authenticity - The Artists Print Room

All print edition details should be included in the certificate of authenticity which is provided with the print included which print number the specific print is and out of how many.

You don’t always need to limit!

Alternatively, you don’t need to ‘limit’ your print production and you can produce open edition prints. Basically, this means you can print as many as you like in whichever formats you like! Again, this is your personal choice and agreements need to be put in place. However, it is worth considering the sales value and resale potential with open editions can be much less than with limited edition prints. With limited edition prints you tend to find that there is value added due to the uniqueness and exclusivity. Open edition prints are much better suited to mass production and high turnovers.

Bespoke Greetings Cards

Did you know that you don’t just have to have your work reproduced as standard prints? You can also create bespoke, stunning greetings cards from your art or photography. By having your image printed on a card, you’re really giving loved ones something bespoke, personal and special. You could take your favourite holiday image, whether this be either a photograph or a painting of the scenery and turn it into greetings cards that your recipient can keep and frame.

Our greetings cards are digitally printed using pigment inks and FSC approved acid free 300gsm card. This allows you to order quantities as low as six-cards per design, provided they are on the same substrate (we also provide discounts for larger quantities). We offer various sizes including; 6×4″, 7×5″ or 8×5.6″ all available as either portrait or landscape (folded along the long side or short side). Additionally, we can produce square cards for something a little different which are 145x145mm. Each greetings card can be printed either with or without a border and we also include a small thumbnail on the back of each card of your work and also the image title, your name and website address.

But, the best bit! You don’t need to worry about downloading a template and having to layout the design yourself! We are happy to take that pressure away from you. Once you upload your image through our online ordering system we will design and proof your greetings cards (free of charge!) Of course, we will send you a proof for approval before going to print ensuring you’re happy with your personalised product. Our minimum order is just six greetings cards per design and all are provided with corresponding envelopes and are sent to you flat packed and pre-creased so your cards are ready for their handwritten note and then the postbox!

Turnaround time for greetings cards printing is between three and seven days, however, this can be slightly longer at peak times so please check with us if you’re working to a tight deadline.

Smooth Fine Art Papers

At The Artist’s Print Room, we stock a wide variety of fine art papers for artists, photographers, illustrators, galleries and museums. Here we have outlined the different types of smooth and matt fine art paper options we offer.

Smooth Fine Art Papers

When paper is produced in the paper mill, smooth fine art papers are created with a much more smooth felt in comparison to the textured papers, this then produces the surface on the finished product. A smooth fine art paper can often be a good go to when just starting out. Additionally, smooth and matt fine are papers are often compliment portrait photography. However, it is important to remember that when a paper is described as smooth it is not completely devoid of texture though!

Hahnemühle Bamboo 290gsm

Hahnemühle Bamboo - The Artists Print Room

This bamboo paper is made from 90% bamboo fibres and the additional 10% is made from cotton. This particular paper is more environmentally friendly than the cotton papers due to the fast growing bamboo. Furthermore, this also now forms part of the Hahnemühle Natural Line range of fine art substrates. This paper has a lovely warm white colour and due to its tone, it is ideal for warm coloured prints and monochrome images.

Canson® Infinity Rag Photographique 310gsm

This paper from Canson is 100% cotton and has an exceptional smooth white tone. During the manufacturing process, natural minerals are added and therefore this paper has a natural tone. A very unique, smooth surface, however, there is still a tactile element to the paper which you can see in the close up image. This paper provides one of the highest achievable Dmax on the market, therefore, making it a perfect solution for both fine art photography prints and art reproductions.

Hahnemühle Photo Rag Bright White 310gsm

Hahnemühle’s most famous paper is probably their Photo Rag and this paper is a brighter version of their famous Photo Rag 308gsm. As above, a 100% cotton paper but with a bright white tone. A smooth surface, this paper can really make your colours ‘pop’ and really add definition to black and white imagery.

Gloss Fine Art Papers

Deciding on the perfect paper for your photography or art reproduction can be a difficult decision to make. We have put together a list of the gloss fine art papers that we offer. We hope this gives some understanding to each of the paper qualities and what type of finish you can expect.

Gloss Fine Art Papers

The most important thing to be aware of here when considering a gloss fine art paper is that when we talk about gloss, this tends to be more of a subtle lustre or satin finish. Not the high gloss on your standard photographic prints that you have produced from standard photo labs. These finishes are much more subtle and arguably more exquisite and beautiful.

The Canson® Infinity Platine Fibre Rag is a combination of the combination of the premium 100% cotton Platinum paper that Canson has supplied for many years to the original Platinum and Platine photographic market, with the latest microporous coating. The paper contains no optical brighteners, thus not affecting the longevity of the print. An excellent choice of paper for both black and white or colour images. A 310gsm which overall provides a stunning satin finish to your image.

Hahnemühle PhotoRag Satin

Hahnemühle PhotoRag Satin - The Artists Print Room

As above, this paper from but from Hahnemühle is a 310gsm,  and has a satin finish. A smooth surface and 100% cotton rag, the paper has a lovely natural white tone. A unique paper in that when you image is printed on this paper, the unprinted areas remain matt, however, the printed areas have a slight sheen. Your print will appear like it shimmers in the light.

Hahnemühle FineArt Pearl

Hahnemühle FineArt Pearl - The Artists Print Room

The Hahnemühle FineArt Pearl is a 285gsm paper and provides your prints with a sensational pearl finish. This paper isn’t cotton rag like others previously mentioned, it’s a 100% a-cellulose paper (which is wood pulp) and has a bright white tone. Due to this bright white, prints will have impressive colour contrasts and the black in your images will have an incredible depth.

Hahnemühle PhotoRag Baryta - The Artists Print Room

Photo Rag Baryta is a 315gsm, 100% cotton paper and the ‘glossiest’ paper we offer. Using barium sulphate in the inkjet coating, ensuring the typical gloss that makes this paper a genuine replacement for traditional Baryta papers from analogue labs. The coating on this paper provides a water resistance and the tone of the base paper lends well to black and white prints.

The ILFORD Galerie Gold Fibre Silk 310gsm is a stunning traditional fibre based substrate. This fine art paper has both the look and feel of a traditional baryta paper which many artists and photographers love. From the comfort of your own home and abiding by social distancing guidelines we can provide a support service to help you ensure your image processing programmes are set up correctly and accurately. Alternatively, we can help run through some of the most common settings and tools you would need as either an artist or photographer. We can cover both Photoshop and Lightroom, whichever you require; or both!

Additionally, we can provide services to assist you in calibrating your monitor and installing or embedding ICC profiles. This is particularly useful when you are planning on printing your artwork as you will be able to see a more accurate representation of the final colours, tones and hues to be expected in your prints.

Soft Proofing Set-Up – The Artists Print Room

Our custom-built artwork photography set up, the final file of each piece of artwork we photograph is two-times the size of the original piece. With this file size, it ensures that there is an incredible colour depth, all delicate details included, full tonal range and perfect accuracy.

Service Details

Prices for these services starts at £60.00 and all of our prices are based on per square inch, it doesn’t mater whether your artwork is matt, gloss or varnish or how you produced your original. We also offer 15% discounts for every additional pieces to be photographed. Additionally, for those that wish to send us their artwork for image capture, we will provide you with a free postage label so you don’t need to worry about delivery costs to us. Our artwork printing services can be ordered online through our online ordering system.  Included in this is the image white point and colour balanced in addition to a printed test proof. The ‘Art’ of Cash Flow Planning

Now you’re up and running by promoting and selling your artwork or photography through your own website and social media channels. You should focus on the importance of cash flow within your business.

You have your pricing structure set up, so you know and understand how to price your individual pieces of artwork. However, you need to take into account your overheads and ensure you have sufficient cash flow to cover the cost of these.

Simply put, cash flow is the movement of funds in and out of your business. If you are to apply for a business loan or investment, it is highly likely you would need to provide a cash flow forecast. This document can help you forward plan and grow.

When taking a look at your expected cash flow, it is important to understand your expenses throughout the year. By forward planning and looking at things objectively, you can hope to eliminate any financial surprises. As the saying goes, ‘cash is king’! One of the first things you prioritise is any expenses you would expect to incur. This includes a vast array of items including any rent you may have (relevant if perhaps working from a studio), art materials, printing and postage costs, general utility bills and costs of any paid advertising you are undertaking. Then you need to consider your revenue, how much are you bringing in each month from your work? These need to at least balance out, but of course, ideally, your income needs to exceed your outgoings to ensure you are making a profit. The easiest way to look at this is, ‘I need £x to cover £x’.

Cash Flow Forecasting

By producing a cash flow forecast, this allows you to work out methodically and objectively what your expected income and outgoings are each month throughout the year. This can be produced using a simple spreadsheet, alternatively, ask your bookkeeper or accountant to help out if you are unsure. Additionally, there are many templates available online for you to download and use. List down all your outgoings month by month in this spreadsheet. From here, you can work out what you need to produce and sell to cover these costs. Of course, within the art industry, this can be tricky to work out as selling your work can be variable from month to month but if possible, look at previous years and check for any reoccurring patterns such as a sales peak in the run up to Christmas. Make sure you are regularly updating and reviewing your cash flow forecast so you can keep track of your business revenue.

Cost Savings

It is always a good idea to work out where you could possibly make cost savings. For example, can you purchase your art materials in bulk? By doing so, you can often benefit from smaller delivery charges or at least save on these by ordering once rather than having lots of smaller deliveries. Also, some suppliers may offer you discounted rates for bulk purchases. Further to this, when it comes to having your work printed, we offer a print on-demand service. Therefore, you are only paying to have the prints of your artwork or photography produced on-demand – when they have been committed to by your customer. Ideally, you will already have this cash in your bank too as hopefully your customer will have already paid for you to commit to the print order.

If you are shipping your orders yourself to your customer, can you negotiate your delivery costs? If using delivery services, perhaps you could meet with a representative from said company to try and reduce some of these expenses.

In summary, it is important to spend some time forward planning and understanding these aspects of your business. By having a plan, you are less likely to incur any unfortunate expenses and surprises. Also, never forget the tax man! Remember, as a self-employed artist or photographer, you must complete, file, and pay your self-assessment tax on a yearly basis and should be included in your cash flow forecast!
